Privacy Policy

Periva Solutions Inc. (“Periva”, “we”, “us”) provides fleet management and telematics services across North America. This policy explains what personal information we handle, why we handle it, and what choices you have.

It covers our website at periva.io, the Periva GPS platform at gps.periva.io, and the sales and support conversations that go with them.

1. Whose information this covers

Our responsibilities differ depending on whose information is involved, so it is worth being clear about the two situations.

Information we decide how to use

For visitors to periva.io, people who contact us or request a quote, newsletter subscribers, and the individuals who administer a customer account, we determine why and how the information is used. This policy governs that processing, and you can exercise your rights with us directly.

Information we handle on a customer's behalf

The data inside the Periva GPS platform belongs to the organisation that operates the fleet. That customer decides which vehicles are tracked, which people get accounts, what is recorded and how long it is kept. We process it on their documented instructions under our agreement with them, and we do not use it for our own purposes.

If you are a driver or employee of a Periva customer and you want to access, correct or delete your information, or understand why your vehicle is tracked, please contact your employer in the first instance. They control that data. If you contact us instead, we will refer your request to them and help them respond.

2. Information we handle

Information you give us

  • Contact and company details you submit through our quote and contact forms, including name, company, email address, phone number, fleet size and fleet location.
  • Your email address if you subscribe to our newsletter.
  • The content of emails, calls and support requests you send us.

Information in the Periva GPS platform

Handled on behalf of our customers, as described in section 1:

  • Vehicle location and movement, including GPS position, speed, heading, trips, stops and idling.
  • Vehicle diagnostics and health, such as engine data, fuel consumption and fault codes.
  • Driving events a customer chooses to monitor, such as harsh braking, speeding or crash detection.
  • Account details for the people a customer gives access to, including name, email address, username, role and authentication credentials.
  • Device identifiers for the tracking hardware installed in a vehicle.
  • Vehicle details recorded when a vehicle is added to a fleet, such as its licence plate and the country and region it is registered in.
  • Application, security and audit logs recording activity in the platform.

This data travels from the tracking device in a vehicle over a cellular network to our servers. The device manufacturer's firmware management service and the IoT connectivity provider that carries the traffic are both listed on our subprocessors page.

Information collected automatically

  • IP address, approximate location derived from it, browser and device information, and pages viewed.
  • Cookies and similar technologies, described in our Cookie Policy.
  • Server and security logs generated when you use our website or the platform.

3. Why we use it

  • To provide, operate, secure and support the Periva GPS platform for our customers.
  • To respond to enquiries, prepare quotes and manage our relationship with customers and prospects.
  • To send service and account notifications, including alerts a customer has configured.
  • To send marketing communications where you have asked to receive them, and to measure how our campaigns perform.
  • To understand how our website is used so we can improve it.
  • To detect, investigate and prevent fraud, abuse and security incidents.
  • To meet our legal, regulatory and contractual obligations.

We do not sell personal information, and we do not use data from the Periva GPS platform to train models or to build advertising profiles.

5. Who we share it with

We do not sell, rent or trade personal information. We share it only in the following circumstances.

  • Service providers. We use a small number of third-party providers to host, secure, support and deliver our services. Each one is listed, with what it processes and where, on our subprocessors page.
  • Our customers. Platform data is made available to the customer that owns it and to the users they authorise.
  • Legal and safety. Where we are required to by law, or where disclosure is necessary to investigate a security incident, enforce our agreements, or protect someone's safety.
  • Business transfers. If we are involved in a merger, acquisition or sale of assets, information may be transferred as part of that transaction, subject to the protections in this policy.

6. Where it is stored

The Periva GPS platform and its backups are hosted in Canada, in the AWS ca-central-1 region in Montréal. Our website and several of our marketing and communication tools are hosted in the United States. The subprocessors page sets out the location for each provider.

Information stored or processed in another country is subject to the laws of that country, and may be accessible to its courts and law enforcement. Where information crosses a border we rely on the transfer mechanisms required by applicable law together with the data protection terms in our contract with each provider.

7. How long we keep it

  • Enquiries and quote requests: for as long as we need to respond, and for a reasonable period afterwards as a business record.
  • Newsletter subscriptions: until you unsubscribe.
  • Platform data: for the term of the customer agreement, and then deleted or returned in accordance with that agreement.
  • Logs and backups: on a rolling basis, for security, troubleshooting and disaster recovery.

We keep information for longer only where a law, a regulator or an actual or anticipated legal claim requires it.

8. How we protect it

We use safeguards appropriate to the sensitivity of the information, including encryption in transit, access controls that limit who inside Periva can reach customer data, authentication on the platform, and logging of administrative activity. Our infrastructure providers operate their own certified security programmes.

No system is completely secure. If a breach affects your personal information and creates a real risk of significant harm, we will notify you and the relevant regulator as required by law.

9. Your rights and choices

Subject to the limits in applicable law, you can ask us to:

  • Confirm what personal information we hold about you and give you access to it.
  • Correct information that is inaccurate or incomplete.
  • Delete information we no longer have a legitimate reason to keep.
  • Stop sending you marketing.
  • Explain how we handle your information and who we have shared it with.

Write to [email protected] and we will respond within the time your law allows, which in Canada is normally 30 days. We may need to verify your identity first. If your request concerns data held in the Periva GPS platform on a customer's behalf, see section 1.

If you are not satisfied with our response, you can complain to the Office of the Privacy Commissioner of Canada, or to the Office of the Information and Privacy Commissioner for British Columbia. If you are in the EEA or the UK, you can complain to your local supervisory authority.

10. Children's information

Our website and platform are intended for businesses and the people who work for them. We do not knowingly collect personal information from children. If you believe a child has provided us with information, contact us and we will delete it.

11. Changes to this policy

We update this policy when our practices change. The date at the top of the page shows when it was last revised. If a change materially affects how we handle your personal information, we will take reasonable steps to tell you before it takes effect.
